Business manager and operations manager job specification

InteDelta is seeking a business and operations manager to manage the operational aspects of our business.

About InteDelta

InteDelta is a small consultancy with ambitions to become one of the preeminent consultancies in the field of risk management. Our areas of expertise cover the major types of risk faced by institutions: market, credit and operational, as well as a number of more niche specialisms. Our clients include financial institutions in the banking and asset management sector, from some of the world’s largest investment banks to medium sized banks in developing markets and hedge funds. Our work is very international with over two thirds of our income coming from outside the UK. We currently have six employees, a pool of independent associates who supplement our permanent consultants and a range of part-time/outsourced service providers who provide functions such as bookkeeping, IT support and payroll. We operate out of serviced offices in the City.

Reason for role

Responsibility for many operational aspects of our business are currently spread around several individuals. Our managing director looks after finance and HR, and other tasks are allocated to our business development managers and consultants. Additionally we have external providers for bookkeeping, payroll and IT and we have a part time administrative assistant. This structure means that many operational tasks are not performed as well or as efficiently as they should be and the growth of our business is being hindered.

We have decided to bring the responsibility for all business management and operational tasks under the responsibility of a newly created role. We will continue to use most of our outsourced service providers although elements of accounting may be brought in house.

The role

The remit of the role is very broad and covers all operational aspects of our business. You will perform many tasks yourself but in other areas you will be responsible for the supervision of tasks performed by other members of staff or outsourced providers.

The role is likely to evolve as InteDelta grows, but the current key aspects of the role are as follows:

  • Finance
    • Invoicing – calculation of fees, issuing invoices and monitoring payments;
    • Staff expenses – setting up a system for the management of expenses and where these are recoverable from clients, ensuring that they are promptly billed;
    • Bookkeeping and accounting – bookkeeping and accounting tasks (e.g. entry in Sage, production of TB, reconciliations) (depending on experience);
    •  Making expenses payments;
    • Production of management information;
    • Liaison with accountants on audit and tax issues;
  • HR
    • Liaison with our payroll bureau;
    • Management of our pool of independent contractors;
    • Setting up a system for the accurate recording of time;
    • Managing staff travel;
    • Administration of recruitment;
    • Employment and contractor contracts;
    • Calculation of employee commission and bonus payments;
    • Salary reviews;
    • Health and safety;
    • Keeping up to date with employment legislation and assessing the impact on InteDelta’s business
    • Dealing with ad hoc HR issues;
  • Sales and marketing
    • Managing the completeness and accuracy of our sales and marketing data;
    • Working with the managing director and business development manager on marketing initiatives;

  • Premises and IT
    • Point of contact for any premises or IT issues;
    • IT purchases;
    • Management of backups;
    • Policy for IT security;
    • Management of future office moves;
  • Legal
    • Administration of our consulting contracts
    • Liaison with lawyers on any legal matters;
    • Ensuring we have adequate insurance and that we conduct our business in line with the terms of the policies;

  • Strategic initiatives
    • Working with our directors on strategic initiatives such as new products and partnerships.

Working environment

InteDelta is a niche consultancy with big ambitions and an entrepreneurial spirit. You will contribute directly to the development of the business. We work hard but we also like to enjoy ourselves.

The candidate

You should have experience of working in a changing small business environment.  Experience of finance is essential and at least one of the following: HR, premises, IT, legal. An accounting qualification and/or Sage bookkeeping experience would be advantageous but we will nevertheless consider candidates without this experience if they have a sufficiently broad range of other skills. Intermediate to advanced Excel skills are required (the candidate will be taking over spreadsheets developed by our managing director who is an advanced Excel user).

You should have experience of setting up systems and have supervisory experience but also be prepared to undertake administrative tasks themselves.
